Terms of Service

This is a draft policy, not a finished legal document. It is pending review by a qualified solicitor before it should be treated as complete or final. Bracketed placeholders below mark details still to be confirmed.

1. Agreement

By creating an account or using IronProve ("the Service"), you agree to these Terms on behalf of the organization you represent. If you don't agree, don't use the Service.

2. What the Service does

IronProve lets organizations create digital identity records for physical assets, via NFC tags or QR codes, log inspections against configurable checklists, and generate exports and reports of that data. It is a record-keeping tool. It does not itself certify, guarantee, or verify regulatory compliance with any specific body, such as the CQC. It provides the tools to maintain your own accurate, timestamped records.

3. Accounts

  • You must provide accurate information when creating an account
  • You are responsible for maintaining the security of your account credentials and any access codes you generate for technicians
  • You are responsible for the accuracy of the data your organization's users enter into the Service

4. Data ownership

You (the organization) own all inspection data, item data, and records you create using the Service. We do not claim ownership over your data. On termination of your account, see Section 8 for what happens to your data.

5. Acceptable use

You agree not to:

  • Use the Service for any organization or purpose other than legitimate asset or compliance record-keeping
  • Attempt to bypass rate limits, security controls, or access another organization's data
  • Reverse engineer, scrape, or resell access to the Service without our written permission

6. Immutable records

Inspection records, once submitted, cannot be edited or deleted through the Service. This is a deliberate design choice to support the integrity of your compliance records. No admin or superadmin path exists to edit or delete a submitted inspection record. You are responsible for ensuring the accuracy of a record before submission, since it cannot be changed afterward.

7. Service availability

We aim to keep the Service available and reliable but do not guarantee uninterrupted access. We are not liable for any loss arising from temporary unavailability of the Service.

8. Termination and data retention on exit

  • You may cancel your account at any time
  • We may suspend or terminate accounts that violate these Terms
  • On termination, you may export your data for a period afterward, to be confirmed, after which it will be deleted from active systems in line with our Privacy Policy, except where retained for legal or backup purposes

9. Limitation of liability

This section is pending drafting by a qualified solicitor and is not yet complete. Do not rely on this Terms of Service as covering liability until this section has been finalized. It will typically cover liability caps, exclusion of indirect or consequential damages, and confirmation that the Service is a record-keeping tool, not a guarantee of regulatory outcomes.

10. Changes to these Terms

We may update these Terms from time to time. Material changes will be communicated to account admins by email before taking effect.
